Music Education Canterbury, the Canterbury region of MENZA is based in Christchurch and we are looking for a new administrator.
This has a paid honorarium, only 5 meetings a year, good knowledge of finance, good organisation, communication and attention to details, and involves working with a great team of music educators!

Job Description – Administrator for Music Education Canterbury 

Aim of the Role: to support the executive by performing key tasks associated with the roles of Secretary and Treasurer.

Time commitment: The role is based on an average of twenty hours per quarter.

  • Meetings
  • Assist with preparation of the agenda as required.
  • Prepare a financial report for the Treasurer to present at each meeting, covering transactions since the last meeting and payments for approval.
  • Take minutes during meetings (normally one per term plus the AGM) and make them available to members in a timely fashion.
  • Finance
  • Record all transactions, assigning all receipts and payments to the appropriate category.
  • Regularly check the bank account and reconcile with the above records.
  • File bank statements and copies of all invoices in a logical fashion for the reviewer.
  • Set up payments for office bearers to authorise.
  • At the end of the financial year (31 December), complete an annual report in the format required by the Charities Commission, and submit with all other records to the reviewer in a timely fashion, so that they can be reviewed in time for the Annual General Meeting within 3 months.
  • Events and Workshops
  • Monitor registrations.
  • Send invoices and record payments if required; send reminders and receipts as appropriate.
  • Assist at the event if available, with set-up, check-in, refreshments, pack-out etc.

3.1 Strum Strike Blow

  • Monitor registrations regularly and invoice schools as they register.
  • Record payments, send reminders of unpaid invoices, receipt by email (and in writing if requested).
  • Monitor orders through the website, invoice school orders (and individuals as required), collate orders, send order to supplier, pick up completed orders, make up school orders and distribute.
  • Assist at the event if and when available, with set-up, marshalling, distribution of certificates, sales, pack-down, etc.

  • File annual returns to Charities Commission and Societies website.
  • Act as contact for other organisations such as Christchurch Civic Music Council and forward emails to the Executive


Payment is by honorarium paid quarterly.
